Viewing an item

The preview feature enables you to view a content item directly in the application without having to download it to your computer or check it out. For documents containing multiple pages, navigation features enable you to view all pages. In addition to the preview this page displays full document details and a comment feature that enables site members to add comments on the item being viewed.
This task assumes you are in the library of the desired site.
While you may wish to simply preview a content item on the details page, there is a great deal of functionality available to you here. This task describes all of the features available on the details page.
  1. Navigate the library’s folder structure to locate the content item you want to view.
  2. Click the name or thumbnail of the desired item in the item list to display the details page.

    The left side of the page displays a preview of the selected item. Above this you see the basic item information: folder in which the item is located, item name, version number, the user who last modified the item, and the date/time of the modification. An icon to the left of these details indicates the file type.

    Note: When the content item does not have a file type extension or the extension is not recognized, a generic icon is displayed.

    A Download button is conveniently placed in this header as it is one of the most common actions performed on a content item.

    The actions Favorite, Like, and Comment allow you to add it to your list of favorite library items, like the item, or add a comment to it. Once you favorite or like an item, you always have the option of undoing the action. Counters indicate the number of people who have liked the content and the number of comments added.

    The right side of the page displays the details for the selected item, as well as all of the actions you can perform. The information and actions are grouped in sections that can be expanded and collapsed so that you see only the information that interests you.

    The comments can be found beneath the preview with the most recent comment at the top of the list.

  3. When the content item contains multiple pages use the features provided to navigate the pages:
    1. Click the left and right arrow buttons to move backward and forward through the pages one at a time.
    2. To jump to a specific page, type the page number In the Page box and press ENTER.
  4. Resize the preview as necessary using the tools provided:
    1. Move the slider left to decrease and right to increase the size of the preview.
    2. Use the - and + buttons to decrease and increase the size of the preview in increments of 10%.
    3. Use the menu to select a specific size: Actual Size, Fit Page, Fit Width, or Fit Height.
    4. Click Fullscreen to expand the preview pane to the full monitor size. Press ESC on the fullscreen view to return to the details page.
    5. Click Maximize to expand the preview pane to the size of the browser window. The item appears within the browser frame. Press ESC on the maximized view to return to the details page.
  5. Expand and collapse the sections on the right side of the page to view the information that interests you.

    The viewing configuration you set on this page will be used each time you open a details page. These preferences are maintained until you reconfigure the settings.

  6. Click an option in the Document Actions list to perform that action on the current item.
  7. In the Tags section you can view a list of tags associated with the content item. From here you can:
    • Click the Edit Tags icon to display the Edit Properties page. On this page click Select beneath the Tags label to edit the tag associations. You can add and remove existing tags, and create new tags.
  8. The Share section displays the URL for the current page. Select and copy this link to share it with other users via email or instant messaging. You can also paste the link in other site content, such as a wiki page, blog posting, or discussion topic, to direct site members to this page.

    Note: If you are using Internet Explorer you can simply click the action copy link to share this page beneath the URL to copy it to your clipboard.
  9. The Properties section displays the basic properties for the current item. From here you can:
    • Click the Edit Properties icon to edit the properties of this item, including the tags. This opens the Edit Properties page.
  10. The Permissions section displays the permissions for the current item. From here you can:
    • Click the Manage Permissions icon to edit the permissions for the current item.
  11. The Workflows section displays a list of workflows that this item is included in. The profile picture of the user who started the workflow is displayed, as well as the workflow type. From here you can:
    • Click the Start Workflow icon to create a new workflow for this item.
    • Click the workflow description to display the Details page for the selected workflow. From here you can manage your workflow task.
  12. The Version History section displays the details for previous versions. From here you can:
    • Click the Upload New Version icon to create a new version of this item.
    • Click the Revert icon to replace the current version of the document with the content of an earlier version.
    • Click the Download icon to obtain a copy of an earlier version of the document.
    • Click the View Properties icon to view the properties for a specific version of the content item.
  13. The Publishing History section displays the details for externally published versions of this item. From here you can:
    • Click the Unpublish icon to remove the content from the social media website where it is published.
  14. Scroll to the bottom of the page to view comments related to the selected item. Here you can also add a comment, as well as edit and delete comments added by you.

    The comment list displays the ten most recent comments. When the list contains more comments than can be displayed on a single page, navigation links appear at the top and bottom of the list. The number in bold indicates your current page. Click a page number to display a specific page. Use the previous (<<) and next (>>) links to move forward and backward through multiple pages of comments.

  15. When you are finished on this page you can click a folder beneath the banner to return to the item list.
